What an interim advisory retainer is actually for

How a monthly outside perspective differs from a project engagement, and when it makes sense

A project engagement has a defined start, a defined end, and a specific deliverable. An interim advisory retainer has none of those things. It is an ongoing relationship with a specific structure: regular calls, written summaries, and availability for questions between sessions. For some organizations, at some points in their development, that is exactly what is needed.

When a retainer makes more sense than a project

A retainer is most useful when the challenges an organization is facing are not discrete enough to scope as a project. A new executive director navigating their first year. A board that is working through a governance transition over several months. An organization that has completed a strategic plan and wants an outside perspective on implementation as it unfolds.

In each of these situations, the value is not in a deliverable. It is in having someone who knows the organization well enough to give useful advice when a specific question arises, and who is not so close to the situation that their perspective is compromised.

What the structure looks like in practice

The Date Hill Way retainer includes two structured calls per month, each with a written summary sent within two business days. Between calls, clients can send questions by email and receive a response within one business day. The calls are not status updates. They are working conversations about whatever is most pressing for the client at that point.

The retainer runs month to month with thirty days' notice to cancel. There is no minimum term. Some clients use it for three months during a specific transition; others have maintained the arrangement for over a year.

What it is not

A retainer is not a substitute for a project engagement when a project is what is needed. If an organization needs a written strategic plan, a governance review, or a facilitated stakeholder session, those are project engagements with specific deliverables. A retainer does not produce those things.

It is also not unlimited access. The structure is two calls per month plus email availability. If the volume of questions or the complexity of the situation grows beyond what that structure can support, the right conversation is about whether a project engagement would be more appropriate.

The retainer works best when the client knows what they want to talk about and is prepared to use the time well. It is a tool for organizations that are already moving and want a steady outside perspective as they go.
